Administrative Assistants Build Structure Out of Chaos

Posted by: Joan Burge on 7/17/2009

While things may seem very chaotic at the office, there are things you can do to feel like you have more control. Here is a quick list of tips:

  • Standardize processes.
  • Use the clustering technique. That means cluster similar supplies and/or similar tasks.
  • When given a project or task, get all the information you can at once.
  • Establish some quiet time throughout the day to get reorganized and mentally back on track.
  • Recognize what time of day you are most productive and try to do the most mentally-challenging tasks during that time.
  • Search for alternatives; a simpler, faster way.
  • Finish what you start; don’t jump around.
  • Keep an organized work space. (More on this in a later blog.)
  • Stay focused.

“A professional is someone who cares about the results, not just the activity. The only catch is that it takes a certain kind of person.” -- Michael Hammer, Reengineering the Corporation

    • This reminds me that I do need to search for alternatives to streamline my work and accomplish tasks faster. There is so much work to be done in a given day that it gets to be so overwhelming. I appreciate all of the tips on organization. Although I am a very organized person others in my office are not and it causes chaos. I would appreciate more articles on this topic in the future. Thank you Joan.

    • Hello Tammie and Alice! I will provide more information on this topic in future blogs and free webinars. I've had several requests to spend more time on this topic. Tammie, that is a great idea. You'll have to let me know how your members like that. Thanks!
